Who this is for
- Your brief does not match a published catalogue trek — mixed fitness in one party, split walk and vehicle, or a clock the standard ~08:30 meeting cannot hold.
- You need time to plan with a local guide before confirming — dates, host availability, and route shape depend on your answers.
- You accept that price is quoted after the itinerary is agreed, not from a fixed from-price on the page.
- Your party meets the minimum two paying guests required on every Sapa Local Guides experience.
- You want a private English-speaking local guide coordinating villages, meals, and transfers within what trails and hosts allow.
Who this is NOT for
- Your day is a standard Muong Hoa terrace walk — book Easy Trek or Full-Day Trek instead of paying custom rates for the same loop.
- You want the cheapest option and a fixed published price — every catalogue trek lists a from-price; this page does not.
- You need join-in group pricing, a single guest below the two-person minimum, or Hanoi–Sapa transport included in the trek fee.
- You want guaranteed ensuite bathrooms, step-free terrace paths, or hotel-level comfort every night — stay in town or pick a softer product.
- You are unsure which trek to start with — use the catalogue chooser first; Expeditions is for when the shape is wrong, not when you have not read the SKUs.
Typical traveller profiles
Photographers
Early starts, waiting for light, and vehicle hops between hamlets when the standard full-day pace is too rigid. Not a separate workshop SKU — still walking and village etiquette apply.
Families
Mixed ages or pacing in one private party — shorter blocks, rest stops, or town plus fringe hamlets. Not a default for toddlers on long valley days; catalogue homestay treks are separate products.
Couples
One partner fitter than the other, anniversary timing, or town culture plus a partial valley day in one calendar. Useful when a single catalogue day is the wrong shape, not when Easy Trek already fits.
Returning visitors
Quieter hamlets, alternate corridors, or pacing that avoids repeating Lao Chai–Ta Van without booking Hidden Villages or Remote Expedition as published routes.
Experienced trekkers
When the catalogue multi-day product is almost right but needs adjustment — not as a substitute for the Remote Expedition if you want that ridge route unchanged.
What can realistically be customised
- Start time and meeting point — agreed in advance, not only the standard Stone Church window when logistics allow.
- Walking distance per day, rest frequency, and photo stops within safety limits.
- Mix of footpaths and vehicle transfers on the same calendar day.
- Hamlet combinations and pacing when hosts and guides are available on your dates.
- Multi-day shape — trekking days, homestay nights, or town bookends — within village access and season.
- Difficulty band inside what your guide will walk safely — shorter does not mean step-free.
What usually cannot be customised
- Muong Hoa terrace paths into step-free or wheelchair-accessible routes — terrain is fixed.
- Weather, cloud, or guaranteed views — guides adjust; they do not control the mountain.
- Fansipan summit attempts, cable car tickets, or Hanoi–Sapa transport as included trek services.
- Services or hamlets with no host relationship — we do not invent stops outside the guide network.
- The two-paying-guest minimum or private-party rule — same as catalogue products.
- Unlimited distance removal on a published multi-day route re-sold as “custom” without honest km and nights.
Guide and planning process
Enquiries go to the local team by WhatsApp or email. You share dates, group size, fitness, interests, and any fixed constraints (trains, children, medical). A guide or coordinator proposes options grounded in current trail and host availability.
Every expedition runs with an English-speaking local guide born in the region — the same private-party model as catalogue treks. Custom does not mean self-guided or a driver-only day without the walking and village access a guide provides.
How route planning works
Routes start from your brief, then are filtered by season, mud, host beds, and drive times. If a published product already matches — Easy Trek, 2-Day Homestay, Hidden Villages, 3-Day, or Remote Expedition — we say so instead of redesigning the same loop.
Final plans name walking sections, vehicle legs, meal stops, and overnight type (town hotel vs village homestay) before price is confirmed. Changes after hosts are booked may not be possible on short notice.
Accommodation flexibility
Town hotel nights remain your booking unless a homestay night is written into the confirmed itinerary. Village homestays depend on host availability — platform sleeping and shared bathrooms as on catalogue homestay treks.
We cannot promise ensuite private rooms every night on valley routes. Extended homestay combinations need advance notice to coordinate families.
Vehicle flexibility
Private transfers to trailheads, pick-ups after long walks, or split days (vehicle morning, walk afternoon) are common custom requests when roads reach the section you want.
Vehicle time adds cost and must fit village access — not every viewpoint has a road. All-day jeep touring without the walking component you asked for is a different brief; say so upfront.
Walking flexibility
Shorter loops, optional skips, and slower pacing for the slowest walker are normal custom adjustments within one private party.
Guides cannot remove Moderate or Challenging terrain entirely on a valley day — shortening a walk is not the same as making Muong Hoa flat.
Seasonal planning
Wet season (June–August) affects mud and ridge safety; mist reduces views without cancelling walks. Dry windows (March–May, September–November) are easier for mixed walk–vehicle days.
Peak holiday periods need more lead time for host beds and guide calendars. Tell us your fixed dates early so we can decline honestly rather than over-promise.
Why enquiry is required before confirmation
There is no fixed from-price because duration, distance, vehicle use, homestay nights, and group size all change the operation. A quote without your brief would mislead.
Confirmation happens after you approve a written outline — not from a same-day WhatsApp “yes” without dates, fitness, and route shape. Payment terms are shared with the quote.
Expected planning process
- Share dates, group size, fitness, and priorities — what must happen vs what is optional.
- Receive a proposed outline — walking blocks, transfers, meals, overnight type, and honest limits.
- Refine once or twice — adjust pace, drop a hamlet, or shift a start time while hosts are still available.
- Confirm price and pay deposit as instructed — then meet your guide at the agreed time and place.
Private Expedition vs standard trekking products
Book a catalogue trek when the published route fits. Enquire here only when the shape is wrong — not because “private” sounds more exclusive.
| Private Sapa Expeditions | Standard catalogue treks | |
|---|---|---|
| Pricing | Quoted after itinerary agreed — no from-price | Published from-prices on each product page |
| Route | Designed per brief within trail and host limits | Fixed published sequence and km |
| Start time | Often adjustable when agreed in advance | Typically ~08:30 at Sapa Stone Church |
| Walk vs vehicle | Can mix transfers and walking on one day | Set walk pattern per product listing |
| Best for | Complex requirements that no single SKU holds | Clear match to Easy, 2-Day, Hidden, 3-Day, or Remote |
